Adding Comments to Invoice Status


In order to Add Comments to Invoices you must First Turn on this Feature.  To Turn On Comments


1.) Select the Main-Menu Drop down 

2.) Select System Administration

3.) Select Admin Home from under the System Administration Field





After Selecting Admin Home 

4.)  Select the Invoice Status from the Menu





5.) Select the Invoice Status you wish to have a Comments Field added by selecting the Edit button:





You will be prompted with the Edit Invoice Status Window.

6. )  Check the Required Comments Box to Turn On the Comments Option when Assigning an Invoice Status.

7.)  Select the Save Invoice Status button







After Turning On the Require Comments for your Invoice Status, you can now add Comments to your Invoices when assigning Statuses:


To Add a Comment to an Invoice:


1.) Select the Main Menu Drop-Down

2.) Select Invoice (Master Ticket) 

3.) Select Invoice Lookup





After Selecting the Invoice Lookup, You will be directed to the Invoice Lookup page from here you can Assign Invoice Status with Comments using two methods






To Assign an Individual Invoice Status with Comments


1.) Select the View Tickets Button corresponding to the Invoice you want to assign a Status with Comments:






2.) Select the Invoice Status that has Requires Comments Field Turned ON:







After Selecting the Invoice Status you will be prompted with the Required Comments window.  

3.)  Add any additional Comments needed for the Individual Invoice.

4.) Select the Save button







You can now view the Comments By Selecting the History Button corresponding to in Individual Invoice









After selecting the History button the Status History window will show all Invoicing History and Comments:









Adding Invoice Status to Multiple Invoices that require Comments



To Add a Comment to an Multiple Invoices:


1.) Select the Main Menu Drop-Down

2.) Select Invoice (Master Ticket) 

3.) Select Invoice Lookup






After Selecting Invoice Lookup, you will be directed to the Invoice Lookup window.  From here you can use the Bulk Assign function to assign multiple Invoices statuses with comments by:


1.) Selecting the Check Box corresponding to the group of Invoices you wish to Bulk Assign Status with Comments:








2.)  Select the Bulk Invoice Status Change Drop-Down Menu and Select the Invoice Status that has Required Comments turned On:








After Selecting the Bulk Invoice Status you will be prompted with the Required Comments window.

3. ) Fill in the text box with comments

4.)  Select the Save button:







After selecting the Save button you comments can now be view Invoice Status Comments by selecting the View Tickets button corresponding to the Invoice







Select the History Button








After Selecting the History Button you can now view Bulk Assigned Invoice Statuses comment in the Status History Window for the Invoice
